Coach booking procedures 

The following procedures apply to coach travel on the Dover-Dunkirk and Dover-Calais ferry services.

Coach bookings should be requested by email: uk.coaches@dfds.com

The email should specify the required route, date and time for each leg of the journey. 

We also need to know if the booking is for a minibus carrying less than 21 persons, or the approximate number of persons if the vehicle is larger than a minibus.  If necessary, bookings can be requested by telephoning 0871 5211535.

We will check availability and confirm the booking if possible.  If the requested sailings are not available we will offer the nearest alternative.

  • Credit account bookings:

    For bookings made against credit accounts, after sending the initial confirmation we will not call or send a subsequent email to enquire whether the booking is still required. 

    The booking will be considered firm unless we are advised to the contrary.  The booking invoice will be raised on the day of shipment.

  • Cash bookings:

    For cash bookings, payment by credit or debit card is required no less than four weeks prior to departure, on or the same day as the booking is made when that occurs less than four weeks prior to departure.  We will contact the holders of such bookings when payment is due.  Where we have been unable to obtain payment we reserve the right to cancel the booking.

Booking cancellation requests must be sent by email to uk.coaches@dfds.com and must clearly show the booking reference number of the booking to be cancelled.  Cancellation requests cannot be accepted by telephone.

Cancellation charges will apply in accordance with the following schedule:

Bookings cancelled more than 28 days prior to departure


 Bookings cancelled less than 28 days but more than 6 days prior to departure


Bookings cancelled less than 7 days but before the date of travel


Bookings cancelled on the travel date but before the time of travel


‘No show’ bookings and bookings cancelled after the time of travel

Amendments to the date of travel will be permitted without charge (subject to availability) but where changes are made within the cancellation notice period (see above) the non-refundable percentage of the booking charge will remain.

Amendments to the routing and time of departure can be made without charge, subject to availability.  There is also no charge for amendments to vehicle registration numbers and passenger numbers.

Operators are requested to contact us 14 days prior to departure to give an indication of the likely number of passengers travelling aboard the coach and whether those passengers are largely adults, children or mixed age groups. 

This information will assist our Onboard Services Department to better cater for coach passengers whilst they are onboard ship.

The Passenger Manifest must be completed for each leg of the journey and handed in to the DFDS Seaways’ check-in agent on arrival at the port of departure.

The manifest must include for each passenger (including coach drivers and couriers) their given name, the family name, gender (M/F), whether they are adult (persons aged 16 years and above) and designated with the letter ‘A’, children (aged 4-15 years inclusive), designated with the letter ‘C’ or infants (aged less than four years) and indicated by the letter ‘I’. 

Any mobility impairments should also be noted alongside the passenger’s name.
